PREAMBLE

These terms are written to protect both you and us — from fraud, from abuse, and from situations in which honest customers are the ones who get hurt. The legal language below is firm, as it should be in any serious agreement. But behind that language is a simple principle: we want to operate honestly, fairly, and for the long term. If you use the service in good faith, this document is on your side.

PART 1. TERMS OF SERVICE

These Terms govern the Fast Mailbox Services. Services begin once you have completed and signed USPS Form 1583 (for a mailing address) or signed a separate Registered Agent agreement. Opening an account or making any payment constitutes your acceptance of these Terms.

1. Definitions

“Fast Mailbox,” “we,” “us,” “our” — Fast Mailbox LLC, a licensed Commercial Mail Receiving Agency (CMRA) in Northridge, California.
“Customer,” “you,” “your” — the individual or entity using our Services.
“Services” — provision of a virtual mailing address; receipt, storage, scanning, and forwarding of mail; AI-generated mail summaries; and Registered Agent service.
“Address” — the physical Fast Mailbox address in Northridge, California, made available to you.
“Mail” — any letters, envelopes, packages, or legal documents addressed to you at our Address.

2. Account Setup and USPS Form 1583

To activate the Services, each Customer must:

Complete and certify USPS PS Form 1583 (Delivery of Mail Through Agent);
Provide two forms of identification, at least one bearing a photograph;
Provide accurate, current contact information.

Accounts are activated only after we receive a signed Form 1583. Providing false information is grounds for immediate termination and may carry criminal liability under federal law.

Condition to providing services. Virtual mailing address (CMRA) services are provided only after we receive your signed USPS Form 1583. Registered Agent service is provided only after you have set up the corresponding RA subscription. Until you have signed Form 1583, you do not receive mailing address services; until you have set up the Registered Agent service, you do not receive RA service. Until these conditions are met, Fast Mailbox does not receive, store, or process your Mail and does not act as your registered agent.

3. Description of Services

3.1 Virtual Mailing Address (CMRA)

Receipt of Mail at your Address during business hours;
Email notification on the day Mail is received;
Exterior envelope scan — free;
Contents scan on request: $1.00 per envelope plus $1.50 per attachment (PDF);
AI-generated summary of mail contents in English and Russian — included with any contents scan;
Physical mail storage — free for up to 6 months;
Shredding — free on request or automatically at the end of the storage period;
Forwarding: $3.50 handling plus actual postage;
Check deposit: $3.50 per check.

3.2 Registered Agent (with RA subscription)

Receipt of service of process during business hours in the State of California;
Prompt notification to the Customer by email and phone;
Annual subscription: $120/year, automatically renewing;
Available only to LLCs and corporations registered in California.

Scope of Registered Agent service. Our duties as Registered Agent are strictly limited to receiving legal documents and notifying you of them in accordance with applicable law. The service does not include legal representation, legal advice, monitoring of your deadlines, or ensuring that you respond to any legal process. Notification is delivered electronically through your account or by email; you are responsible for keeping your contact information current. Our acceptance of service of process does not create an attorney-client relationship.

Unauthorized use of the Address. If the Address is listed as the address of any person or entity that does not hold an active registration with us, we have no obligation to accept, hold, or forward such Mail and assume no liability to you or any third party for its loss or non-receipt — regardless of whether you approved such use. You assume all liability for such losses and agree to reimburse us for any costs incurred in connection with unauthorized use of the Address.

California statutory protection (Bus. & Prof. Code § 17538.5). When service of process is made on you through our Address, Fast Mailbox follows the procedure prescribed by California law for a CMRA, including delivering a declaration of service by mail under penalty of perjury together with a certificate of mailing. Having followed that procedure, Fast Mailbox has no further liability in connection with acting as agent for service of process. You release Fast Mailbox from any and all claims arising out of actual or attempted service of process resulting from your use of the Services.

3.3 AI Mail Summaries

AI summaries are generated automatically when contents are scanned. You understand and agree that:

AI summaries are generated automatically and may contain inaccuracies;
AI summaries are not legal, financial, or medical advice;
We are not responsible for decisions made in reliance on an AI summary;
For important legal and financial documents, you should review the original scan.

4. Fees and Plans

Personal Plan: a $10 setup fee is credited to your balance. No monthly fee. Services are paid as used.
Business Plan: the monthly fee is set through an accountant partner.
All fees are in U.S. dollars. Applicable taxes are additional.
Top-up bonuses: +10% at $50, +20% at $100.
Unused balance is non-refundable on account closure.
We may change fees on 30 days’ email notice.

5. Customer Responsibilities

You agree to:

Not use the Address for any unlawful, fraudulent, or deceptive activity;
Not receive prohibited, hazardous, or illegal substances;
Promptly notify us of suspicious Mail or of any request from a government authority;
Keep your contact information and Form 1583 current;
Not transfer the right to use the Address to a third party without our consent;
Independently comply with all business-registration and tax obligations.

6. Indemnification

You agree to defend, indemnify, and hold harmless Fast Mailbox LLC, its members, managers, employees, and agents from and against any claims, actions, liabilities, penalties, losses, costs, and expenses (including reasonable attorneys’ fees) arising out of or relating to:

the contents of your Mail, including any claims that may arise from our scanning of your documents;
your use of the Services or the Address;
your violation of any third-party right, including intellectual property and privacy rights;
the failure of any third party — including USPS, FedEx, UPS, DHL, or any other carrier — to deliver Mail;
your violation of these Terms or of any applicable law.

7. Our Rights

Fast Mailbox may:

Refuse service or terminate the Services for any reason or no reason, except as prohibited by law, with a prorated refund of any prepaid amount for the unused period;
Terminate the Services immediately and without notice on suspicion of unlawful, fraudulent, or deceptive activity;
Disclose Customer information in response to lawful process (court order, subpoena, or a request from the USPS Inspection Service);
Refuse to accept suspicious, hazardous, or prohibited Mail;
Destroy Mail held for more than 6 months without Customer instructions;
Modify these Terms on 30 days’ email notice.

8. Disclaimer of Warranties

THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

We do not warrant:

That the Services will be error-free or uninterrupted;
The accuracy of AI summaries;
That our Address will be accepted by any bank, payment system, or government authority;
That the Address meets the requirements of any particular bank or payment provider.

9. Limitation of Liability

We are not liable for any indirect, incidental, punitive, or consequential damages.
Our aggregate liability for any claim, regardless of the form of action (whether in contract, tort — including negligence — strict liability, or otherwise), shall not exceed the greater of (a) $500 or (b) the total fees actually received from you during the 6 months preceding the event giving rise to liability.
Fast Mailbox is not an insurer with respect to the Services. The fees for the Services and the limitations on liability and remedies set out in this section reflect an allocation of risk agreed between the parties; without these limitations, Fast Mailbox could not provide the Services at its current rates.
We are not liable for any delay or failure to deliver by USPS, any carrier, or any other third party, for any cause whatsoever.

10. Dispute Resolution

The parties will attempt in good faith to resolve any dispute through written notice within 30 days before commencing any formal proceeding.
Any qualifying dispute may be brought in the Small Claims Court of Los Angeles County, within that court’s jurisdictional limits.

11. Termination

By the Customer:

At any time by written notice to [email protected];
Services end at the close of the paid period;
After termination, physical Mail is held for 30 days, then destroyed.
Cancellation of Registered Agent. If you cancel the Registered Agent service, you are responsible for appointing a new registered agent and filing the appropriate change-of-agent documents with your state. We are not liable for the consequences of cancellation, including loss of good standing, state penalties, or missed service of process after the termination date.

By Fast Mailbox:

Immediately — for breach of these Terms or suspicion of unlawful activity;
On 30 days’ notice — in other cases, or for any reason, with a prorated refund of prepaid amounts;
Where termination is not due to Customer breach, the unused, prorated portion of any prepayment is refunded.

12. Governing Law

These Terms are governed by the laws of the State of California.
Disputes are heard in the courts of Los Angeles County, California.
The parties will attempt pre-litigation resolution within 30 days.

13. Miscellaneous

These Terms are the entire agreement between the parties.
If any provision is held invalid, the remaining provisions stay in effect.
We may assign our rights to a third party on notice to the Customer.

PART 2. PRIVACY POLICY

Fast Mailbox LLC takes the privacy of your information seriously. This Policy explains what we collect, how we use it, and how we protect it.

1. Information We Collect

Provided by you: name, address, phone, email; identification documents (passport, driver’s license) for Form 1583; your signed Form 1583; payment information (processed by payment providers, not stored directly by us); and your mail-handling instructions.

Collected automatically: images (scans) of received Mail; AI summaries of mail contents; mail metadata (sender, date, document type); and login logs, IP addresses, and browser data.

2. How We Use Information

Service delivery: processing Form 1583, activating your account, and handling Mail;
Notifications: email and SMS about received Mail;
Billing: invoicing and payment processing;
Compliance: meeting USPS requirements, including USPS CRD recertification every 90 days;
Security: fraud prevention;
AI processing: generating mail summaries for your convenience;
Service improvement: usage analysis without identifying individual customers.

We do not sell or share your information with third parties for commercial purposes. Exceptions:

USPS — Form 1583 information, as required by federal CMRA rules;
Payment processors (Stripe) — solely to process payments;
AI providers (Amazon Bedrock / Anthropic Claude) — mail scans for summary generation, transmitted encrypted and not used to train models;
Cloud storage (Cloudflare R2) — encrypted storage of PDF scans;
Government and law enforcement — in response to lawful process (court order, subpoena, or USPS Inspection Service request). We provide the requested documents but will not appear in person unless expressly required by the legal process. We will notify you where legally permitted;
Successor — on a sale of the business, with notice to customers.

4. Data Retention

Mail scans and AI summaries: for the life of the account plus 12 months after closure;
Form 1583 and ID documents: at least 2 years (USPS requirement);
Payment records: 7 years (tax law);
Physical Mail: up to 6 months, then destroyed;
After account deletion, data is deleted within 30 days, except data required to be retained by law.

5. Data Security

All connections are secured with SSL/TLS encryption;
Scans and documents are stored encrypted (AES-256) in Cloudflare R2;
Access is limited to authorized Fast Mailbox personnel;
In the event of a data breach, you will be notified within the timeframe required by applicable law.

6. Your Rights (California — CCPA/CPRA)

California residents have the right to know what personal information we hold, to request a copy, to request deletion (subject to USPS and legal retention requirements), to opt out of the sale of personal information (we do not sell data), and not to be discriminated against for exercising these rights.

7. Cookies

We use cookies necessary for account functionality (session, authentication) and anonymized analytics cookies. We do not use advertising cookies and do not share data with advertising networks.

8. Children

Our Services are intended for individuals 18 and older. If you become aware that a child has provided us with information, notify us and we will delete it.

9. Changes to This Policy

We will notify you by email 30 days before any change takes effect.
